As your business succeeds and grows, more of your team will need access to Orca, but everyone having the same access rights and permissions might really complicate things. Our latest update for Orca allows you to scale your Orca access while keeping you in control of who can see and change what.
We’ve added three new features to Orca:
- Sub-users
- Access Rights
- Audit Reports
Sub-users: bring your whole team into Orca.
Our new sub-user tool allows you to scale your team’s access to Orca, each with their own login. No shared passwords, no one person acting as the gatekeeper for every task.
Why this matters: Your team can work in Orca at the same time, so customer requests are handled faster.
Custom roles: decide exactly who can do what.
Custom roles let you build permission sets that match how your team actually works, rather than choosing from a fixed list.
Create a role, choose which areas of Orca it can view or edit, and assign it to any sub-user.
Example
| Role | Can | Can’t |
| Sales | Place orders, view customer accounts | Change billing details |
| Support | View services, raise and track tickets | Place or cancel orders |
| Finance | View and export invoices | Change service settings |
| Read only | View everything | Make any changes |
Why it matters: sensitive actions, i.e billing, cancellations, etc., stay with the right people, and new starters only see what and edit what they need.
Audit Reports: see every change by every user
Audit reports give you a full breakdown of activity in your Orca account: who did what when and where.
Each entry shows:
- The user
- Action
- Date
- Time
- What was changed
You can filter these by user, date or action type and export this data to a CSV.
Why it matters: If something changes unexpectedly, this change can be tracked in seconds, allowing you to hold team members accountable.
